Zati

The packet cycle is the work. Your AI workers should help you carry it.

Community-association management runs on a monthly rhythm: minutes approved, board packets assembled, action items assigned, then the gap between meetings where maintenance questions, outstanding financial documents and the next packet quietly accumulate. Most of that time goes to chasing, indexing and re-explaining status — not to the judgment calls only your managers can make.

In a hands-on Zati workshop, you build the workers that carry that cycle with you. You define their responsibilities, hand off work between them, inspect what comes back and decide what needs a person. Book your free 30-minute discovery call — bring your packet checklist and one workflow.

Start with the cycle you already repeat

Your first conversation with David is free. You receive an audit of your website's SEO, AEO and GEO, a preview of how a redesign could look, and a demo of what we could build for your business. You keep the audit report and redesign preview whether or not you book a workshop. No strings attached.

1. A website residents and boards can find and understand

We use the audit to work through technical SEO, service pages, mobile experience and contact path for the agreed pages. AEO and GEO work makes your business information clearer and easier for answer engines to access and interpret. We redesign the agreed pages with you and show you how to update them, so the next improvement doesn't have to become another development project.

2. A voice agent for resident and vendor phone inquiries

We set up an xAI voice agent around your business information, common questions and the details you need from callers. You work through the call flow together and test what happens when the agent needs a person. Any booking, quotation, transfer or connected-tool action is agreed with you before it is included — your business decides what can be handled automatically and what needs your confirmation.

3. An AI-worker organization with clear responsibilities

Workers get useful jobs: assemble a document index, produce a missing-item list, draft an action register from approved minutes. We design the roles, instructions, context and handoffs using Zati, Muse or GrokBot where the selected platform suits your work — these are alternative tool choices, not automatically interoperable.

Possible roles for your firm include:

  • Document index worker — receives the supplied reports and documents and returns an index naming each document, its source and which checklist item it satisfies.
  • Gap worker — takes the index and the packet checklist and returns what is absent, who was expected to supply it, and when it is needed.
  • Action register worker — turns approved minutes and packets into a source-linked register identifying each item's source, stated owner, supplied date and dependency.

We also build workers that maintain SEO, AEO and GEO: review pages, identify gaps, suggest updates and prepare changes for your review. You practise asking for work and improving instructions through conversation.

4. The skills to keep it working

You do the work alongside David — changing information, reviewing output, spotting a mistake, making the next improvement yourself. You finish operating the agreed setup and explaining how to maintain it. You keep your accounts, the operating guidance and a practical routine for checking and improving the work.

One workflow, still to be agreed

This is a prospective example, not a claim about existing clients. A first assignment could be: approved minutes and board packets in, an action register and a reviewed summary out. The index flows to the gap list, then to a review worker that checks both against the checklist, then to you. Where the minutes name one owner and the tracker names another, both references are preserved for your decision; where a board instruction is ambiguous, the worker flags it rather than choosing a reading. Your portal and accounting applications remain the homes of official records — the team works from what you supply and connections you approve. Sending, changing a record or committing money stays with the responsible manager.

Choose the workshop depth that fits

The free call helps us agree on a useful finish line. Each package has a written scope and quote.

  • 2 hours — one agreed improvement or one worker, with hands-on practice and clear next steps.
  • 4 hours — a focused workflow and its maintenance routine, with time to test and repeat the changes yourself.
  • 8 hours — a broader setup across agreed website, voice or worker tasks.
  • 16 hours — connect several agreed parts of the business and build confidence operating the setup.
  • 32 hours — a deeper multi-workflow programme with implementation time and an extensive operating playbook.

Not everything fits in two hours; we agree scope on the call. If you want free website hosting, we help set it up and show you how to manage it, or you keep a suitable existing host. Domain renewals, phone and AI usage, and any paid software remain separate costs, identified before the workshop.

Before you begin

Will this replace our portal? No. Nothing is replaced; records stay where they live. You approve any access.

Do we need paid hosting? No, hosting is optional.

Can you guarantee rankings or AI citations? No. We improve the agreed pages and build a maintenance process; search and answer engines determine their own results.

Can workers make legal, financial or board decisions? No. Workers prepare and flag; your managers decide.
